Change a signer or send the signing email again
Where: Tally Sign → Documents → Awaiting signature
1. Open the document
In Tally Sign, choose Documents in the menu on the left, then Awaiting signature, and open the document. Everyone on it is under Recipients on the right, with where they're at: Sent, Viewed or Signed.
More detail: Open the document
Send for signature
- Choose Templates in the sidebar and Use template on the template, or choose New document in the sidebar. The new document opens in the editor.
- In the Signers tab on the right, enter each person's name and email.
- Fill in anything in the Fill-ins tab that's still empty.
- Choose Send at the top right.
- Check the recipients. Choose the pencil to change someone's details, or the × to take them off this document.
- Choose the Signer language: English, Spanish, French, German or Portuguese (Brazil).
- Check the Email subject. Add an optional Message.
- Turn on Sign in order if people must sign one after another. Change Expires in if 60 days is too long or short.
- Leave Signers can assign it to someone else on to let a signer pass the document to the right person, or turn it off when the named person has to sign it themselves.
- Choose Send now. Sent for signature lists who it went to. Choose Done to go to the document page.

Removing someone here takes them off the document, the same as removing them in Signers. Choose Undo under the list to put them back. A signer who has fields in the document, like a signature, can't be removed until those fields are deleted or given to someone else in the editor.

Ask a signer for an access code
An access code is a second check besides the email: you give the signer a code by phone or text, and their signing page shows nothing of the document (not even its title) until they enter it. Use it for documents where a forwarded or intercepted email shouldn't be enough to open them.
- Choose Send at the top right of the draft. Send for signature opens.
- Choose the pencil on the signer's row.
- Under Access code, choose Generate for an 8-digit code, or type your own (at least 6 letters or digits).
- Choose Send now. Sent for signature shows each code once, under Share this access code by phone or text.
- Call or text the signer with their code. Don't email it: the signing email already says a code is needed and that it comes from you.

- The code is kept only as a hash, so nobody (including you) can look it up later. If it's lost, set a new one.
- Five wrong codes lock the signer's link for 15 minutes, and wrong codes are limited per day too. Setting a new code opens it again.
- Each browser asks once; the signer can close the page and come back without entering it again until they close the browser. Changing the code asks again everywhere.
- Codes are for signers outside your company. CC recipients, reviewers and your own signers don't get one, and templates never keep one: set codes on each document.
- Documents started from a public link don't use access codes: the person filled in the link themselves, so there's no code to give them first.
To set, change or remove a code after sending, open the document, choose Change on the signer's card, and use Access code. Copy the new code before choosing Save: it's shown again in a message afterwards, then never.

If the signer assigns the document to someone else, their code doesn't pass on: the new person can't open it until you set a new code for them, and you're emailed to say so. Their card shows Needs a new access code with Set one.

- Sign in person doesn't ask for the code, because you're there with the signer on your own device. Activity and the certificate say it wasn't asked.
- Activity and the certificate list when a code was required, changed or removed, each wrong code and lockout, and when the right code was entered, with the IP address. The signer's card on the certificate shows Access code: Verified and the time.
- From ChatGPT or Claude,
set_recipientson the Tally Sign card's connection takes anaccess_codefor a signer. Sending from the Salesforce panel can't set codes yet; open the document in the editor from Salesforce and send from there, or set one afterwards with Change.

Attach PDF exhibits
Exhibits are PDFs that go with the agreement, such as a preliminary estimate or a spec sheet. The signer can open them from the signing page, and they're added after the signature page of the signed PDF.
- Open the draft from Documents → Drafts (exhibits are added to documents, not templates).
- Choose the Document tab on the right and scroll to Exhibits.
- Choose Attach PDF and pick the file. It's named Exhibit A followed by the file name, then Exhibit B, and so on. The new exhibit is marked Attached for a moment.
- To take one off, choose the trash icon (Remove exhibit) next to it.

On the signing page, the signer sees Exhibits · Included with this agreement under the document, with View to open each one. The document page lists them under Exhibits too.

Send in your customer's language
The Signer language sets the language of everything your signers see from Tally Sign: the signing page and its dialogs, the emails they get (the signing request, reminders, new versions, replies, the voided notice and the completed copy) and the labels on the Certificate of Completion. Your team's app stays in English.
Your document isn't translated. It's sent exactly as you wrote it, and its dates and amounts follow Document language and region in Settings → Company (or the template's own). The signer language starts from that setting, for example German for German (Germany), and is English otherwise.
- Open the draft from Documents → Drafts and choose Send at the top right. Send for signature opens.
- Choose the Signer language for the document.
- To give one person a different language, choose the pencil on their row and pick it under their name and email. Signer language there means they get the document's.
- Leave the Email subject as it is to have it in each person's language. A subject you type is sent as written, to everyone.

- The Message is sent as you wrote it, so write it in your customer's language.
- Signers can switch the language themselves on the signing page. Their choice is kept for their link and the emails they get afterwards.
- Your own signing link and emails stay in English unless you set a language on your row.
- When a signer assigns the document to someone else, that person gets the same language.
Track progress
After sending, open the document from Documents (it's under Awaiting signature). The document page shows its progress on the right. Each recipient moves through Sent, Viewed and Signed.
Viewed means the person had the document open in their browser and scrolled, clicked or typed in it. Just opening the link doesn't count: many companies' email security (and chat link previews) opens every link before anyone reads it. Those show in Activity as *Signing link opened*, and they're left off the certificate. Each later visit from a different device is logged as *Viewed again*, with its own IP address. Reviewers and people copied don't sign, so their cards show Opened with the date and time instead of these steps.
You get an email the first time each signer views the document, and again when they sign or decline (you can turn any of these off: see Choose which updates you get). Your own views don't count: opening a customer's link while you're signed in to Tally Sign, signing your part, or handing your device over for in-person signing. The document page, the Documents list and Home update on their own while anything is out for signature.

- Copy link, on each signer's card, gives you that person's signing link, for example to send it in a chat. Someone else signing for your company (a manager countersigning) signs from their own email, so their card has Remind instead: only they can open their link.
- Remind emails signers who haven't signed yet: at the top for everyone waiting, or on one signer's card for just them. Each person gets at most one reminder an hour, however it's sent (here, from Salesforce, by email or from ChatGPT or Claude), so a second click or a teammate can't email them twice. After a reminder, both buttons show Reminded, and pointing at one says when you can remind again. If some people were reminded in the last hour, Remind at the top only emails the others. Need to reach someone sooner? Copy link and send it yourself.
- Activity lists every event with time, IP address and device, including each email and the address it came from.
- The Questions & changes tab holds the conversation with everyone on the document.
- Reviewers and people copied have their own cards with Copy link, Change and Remove (reviewers also Remind). Add reviewer, next to Recipients, brings someone in after sending. See Reviewers and people copied.
Signer can't find the email? See Why signing emails land in spam and how to send from your own domain.
Change a recipient after sending
If you mistyped someone's email or name, correct it without sending the document again. You can change anyone who hasn't signed yet, while the document is out for signature. People who already signed can't be changed.
- Open the document from Documents. In Overview, find the person under Recipients.
- Choose Change.
- Correct their Full name, Email, Title or Company, or set, change or remove their Access code (see Ask a signer for an access code).
- Choose Save, or Save and send new link when you changed the email of someone whose turn it is.

- A new email gets a new signing link right away, and the link sent to the old address stops working. If it isn't their turn yet (Sign in order), the new address is emailed when it is.
- A new name, title or company keeps the same link.
- The document's content doesn't change. If the person's name is written into the text itself, edit the document instead.
- Activity and the certificate record who made the change, when, and the old and new details.
A signer can also pass the document to someone else from the signing page, if you allow it. Their card then shows Assigned by with the reason they gave, and you get an email. See What your customer sees.

Give signers more time
Signing links stop working when the document expires (60 days after sending, unless you changed Links expire after). The document then shows Expired. Extending turns the same links back on, so there's nothing new to send.
- Open the document from Documents.
- Choose Extend at the top right. Before it expires, choose the ••• menu, then Extend the deadline, or Extend next to the expiry date in Overview.
- Choose 7 more days, 14 more days or 30 more days. The dialog shows the new date.
- Choose Extend. If the links had expired, choose Remind so everyone knows they can sign again.
Activity records who extended the deadline and by how many days. To change the document itself, choose Edit document instead and send it again.
Void a document
Voiding cancels a document that's out for signature. Nobody can sign it after that. You can void a document while it's awaiting signature; a completed document can't be voided.
- Open the document from Documents.
- Choose the ••• menu at the top right, then Void document.
- Type a reason if you like, for example
We're sending an updated NDA. Signers see it in the void email. - Choose Void document.

The status changes to Voided and your reason shows at the top of Overview. Recipients who hadn't signed are marked Didn't sign, and Activity records who voided it and why.

What signers see. Each signer's link stops working right away. Opening it shows This document was voided, with your email for questions.

Everyone who received a signing link is also emailed Voided: document name, with your reason, saying the document no longer needs their signature. Anyone who had already signed is told their signature won't be used. Replies go to you. Owners and admins can turn this email off in Settings → Email; see Email and notifications.

- Voided documents are listed under Declined & voided in Documents. You can delete one there with the trash icon; that also deletes its activity log.
- To fix something without cancelling, choose Edit document or Create a revision in the same menu instead. Editing unlocks it, and when you send it again signers get an email with a link to the new version.
- You can also void from Salesforce with the Void envelope action, or ask ChatGPT or Claude to do it.
When everyone has signed
The status changes to Completed and everyone gets the signed PDF by email. It ends with a Certificate of Completion that records each view and signature.

The Documents list shows everything you've sent or drafted, with live signing status. Filter by Drafts, Awaiting signature, Completed or Declined & voided.

To send the same template to many people at once, see Bulk send.
Check a signed PDF later
Anyone who has the signed PDF, you, your customer or their lawyer, can check that it's the exact file Tally Sign produced. The certificate's footer and the email with the signed copy point to the page.
- Go to www.tallysign.com/verify. No account is needed.
- Drop the PDF on the page, or use choose a file to pick it. The file isn't uploaded: the browser computes its SHA-256 fingerprint and sends only that.
- Authentic means it's the unchanged signed PDF. It shows the document's title, your company, when it was completed, who signed and the document ID.

No match means Tally Sign never produced a signed PDF with exactly that content. The file was changed, it's another copy (a scan, or a PDF printed or exported again from a viewer), or it isn't a Tally Sign signed copy. Send the original signed PDF from your email or the document page, and check that one.
